Use an authorized copy of the document, with its source and review date intact.
Start with the access path you can verify
For a document in Google Drive, OneDrive, Dropbox or another service, use that service’s permitted download or export method, then a supported Prompeteer upload flow. Check the exported result before using it as evidence.
An exported file is a point-in-time copy. This workflow does not imply continuous synchronization, a native connector to every cloud service or automatic access to shared folders.
Keep the source version visible
A short source note helps a later reviewer understand which document informed the work.
Source: approved onboarding guide, exported from our document system on the recorded review date. Use this copy to draft a new-hire checklist. Preserve the stated sequence and identify any references to systems not described here. Mark the result as based on this source version. Ask for an updated export before applying changes announced after that date.
Access and freshness remain your responsibility
Check that the intended recipient is allowed to receive the derived content. Revoking a cloud link does not necessarily erase a previously exported copy. Follow your organization’s retention and deletion rules for both originals and uploads.
Common questions
Does a cloud link prove the model read the file?
No. Verify that the selected product can access and process the file. A link can require authentication or point to an unsupported document.
